Position Overview
H3 is growing quickly but we're still in the stage where every new hire directly shapes the trajectory of the company and the culture we're building. Every person who joins H3 from here forward will come through your process. Your recruiting engine, your onboarding experience, the systems you help to build that make a remote team feel connected and supported. You won't be inheriting someone else's playbook. You'll be cowriting ours. And you'll work directly with H3's co-founders when it comes to how we grow, who we hire, and what it feels like to work here. We are seeking a highly organized, proactive, and people-focused Coordinator to support both day-to-day business operations and employee experience initiatives. This hybrid role combines administrative support, recruiting coordination, onboarding, and HR operations to help ensure our team and leadership function efficiently and effectively. The ideal candidate thrives in a fast-paced environment, enjoys balancing multiple priorities, and is passionate about creating a positive and professional workplace culture.
Key Responsibilities
Build and Operate Recruitment
Design and manage the full-cycle recruitment process across multiple departments, from job posting through offer coordination
Partner with leadership to identify hiring needs, develop job descriptions, and execute effective recruiting strategies
Source, screen, and guide candidates while ensuring a high-quality and professional candidate experience
Manage interview scheduling, communication, and hiring workflows to maintain an efficient recruitment process
Track hiring metrics, pipeline activity, and recruiting progress to support organizational growth
Build and maintain talent pipelines for future hiring needs
Support employer branding initiatives and help position H3 as an employer of choice within the healthcare industry
Own the Employee Experience
Design and lead H3’s onboarding experience so every new hire feels prepared, welcomed, and connected from day one. In a remote company, this is our cultural infrastructure, not just paperwork.
Manage onboarding documentation, orientation scheduling, system access coordination, and employee setup processes
Serve as a primary point of contact for new employees during onboarding and early employment
Continuously improve onboarding processes, employee resources, and internal workflows to enhance employee experience and operational efficiency
Support employee engagement initiatives, trainings, team events, and company culture programs across a distributed team
HR & Administrative Operations
Maintain employee records, HR documentation, and confidential personnel information in compliance with company policies
Assist with benefits administration, employee communications, and HR operational support
Provide administrative support to leadership, including calendar coordination, meeting scheduling, and special projects
Help improve internal systems, processes, and organizational workflows across departments
Support company operations through strong organization, communication, and proactive problem-solving
Qualifications
2+ years of experience in administrative support, HR coordination, recruiting, or operations
Strong organizational and multitasking skills with exceptional attention to detail
Excellent written and verbal communication skills
Ability to handle sensitive and confidential information professionally
Proficiency with Google Workspace, Gusto, and HR/recruiting systems
Self-starter with a positive attitude and strong problem-solving skills
Experience in healthcare, professional services, or fast-paced environments is a plus
